Privacy Policy

1. Introduction

Mesmeride ("Mesmeride", "we", "us", or "our") provides an event management platform—including a website, web application, and mobile app—that organizers use to run events and that attendees, speakers, sponsors, and event staff use to participate in them.

This Privacy Policy explains what information we collect, how we use it, who we share it with, how long we retain it, and the choices you have. It applies to Mesmeride and white-label apps built on the Mesmeride platform for individual organizer brands.

2. Information We Collect

We collect account information such as your name, email address, salted-and-hashed password, profile photo, and role. We also collect event and ticket information, session RSVPs, schedules, check-in timestamps, speaker or sponsor profile information, and materials you choose to upload.

Our payment provider, Stripe, processes payment card information. Mesmeride receives confirmation and limited billing details but does not store full card numbers. We may also collect device and usage information, security logs, crash reports, push-notification tokens, and communications you send through the platform or to support.

3. How We Use Information

We use information to create and manage accounts; operate events, registrations, tickets, schedules, check-in, badges, chat, Q&A, polls, sponsor features, and lead capture; process orders; send confirmations, reminders, receipts, and requested notifications; secure and improve the service; prevent fraud and abuse; provide support; and comply with legal, tax, and accounting obligations.

4. Google Calendar Integration

If you choose to connect Google Calendar, Mesmeride receives your Google Account email address and permission to view and edit events on calendars available to that account. Connecting Google Calendar is optional and occurs only after you initiate the connection and authorize the requested permissions.

Mesmeride uses this access only to provide the Google Calendar features you request: creating calendar events and unique Google Meet links for confirmed Mesmeride meetings or virtual sessions, inviting the relevant participants, and deleting Mesmeride-created events when the related meeting or session is cancelled or must be replaced. Mesmeride does not access or analyze unrelated calendar events for another purpose.

We store the connected Google email address, granted scopes, token expiry, encrypted OAuth access and refresh tokens, and identifiers and join links for events created through Mesmeride. OAuth tokens are encrypted at rest, protected in transit using HTTPS, and retained only while the Google Calendar connection remains active.

We share the meeting details required to create the event with Google and the participants you choose to invite. We do not sell Google user data, use it for advertising, or transfer it except to service providers acting on our behalf, when required for security or by law, or as otherwise permitted by the Google API Services User Data Policy.

You can select Disconnect in Mesmeride at any time. Mesmeride will revoke Google access on a best-effort basis and delete the stored Google connection and OAuth tokens. Calendar events already created in Google Calendar may remain after disconnection and can be removed by the calendar owner.

Mesmeride’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. QR Codes, Badges and Check-In

Ticket QR codes allow authorized event staff to check attendees in. Badge QR codes allow attendees to choose to exchange relevant contact details with sponsors and exhibitors. These codes are event-specific identifiers, not payment credentials.

6. How We Share Information

We share relevant information with organizers of events you interact with, and with sponsors or exhibitors when you intentionally share badge details or interact with their content. We also use service providers for payments, hosting, storage, email delivery, analytics, and crash reporting under obligations to protect the information and use it only to provide services to us.

We may disclose information when required by law or to protect rights, safety, and platform security, and may transfer information as part of a merger, acquisition, or asset sale subject to this Policy. We do not sell personal information.

7. Cookies and Similar Technologies

Mesmeride uses cookies and similar technologies to keep users signed in, remember preferences, maintain security, and understand platform usage. Browser settings can control cookies, although disabling them may limit some features.

8. Data Security

We use safeguards including HTTPS encryption in transit, salted password hashing, encryption of OAuth credentials at rest, access controls, and operational monitoring. No transmission or storage system is completely secure, so absolute security cannot be guaranteed.

9. Data Retention

We retain information while an account or integration is active and as needed to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Event and ticket records may be retained longer for accounting or legal requirements. After account deletion, we remove or anonymize personal information we are not required to retain.

10. Your Rights and Choices

Depending on location, users may have rights to access, correct, export, delete, object to, or restrict processing of their personal information. Profile information can be updated in account settings, promotional email can be disabled through unsubscribe links, push notifications can be disabled in device settings, and Google Calendar can be disconnected from Mesmeride.

11. Children’s Privacy

Mesmeride is not directed to children under 16 and does not knowingly collect their personal information. Contact us if you believe a child has provided personal information so we can investigate and remove it where appropriate.

12. International Data Transfers

Mesmeride and its service providers may process information in countries other than the user’s own. Where required, we rely on appropriate safeguards for international transfers.

13. Changes to This Policy

We may update this Privacy Policy to reflect operational, legal, or regulatory changes. We will publish the revised policy with an updated effective date and provide additional notice where changes are material.
